AI use policy

Your team is already using AI.
The policy is how you
stay in control.

It is almost never malicious. Someone pastes a client document into a free tool to get an hour of their evening back, and now that document has left your control with no record of it. A written AI use policy is how you get the upside without the exposure.

A policy that says yes
safely, not no
to everything.

Banning AI doesn't work; your team will use it anyway, just quietly. The policy that works tells people what they can do, with which tools, on which data, and it is short enough that they actually read it.

  • 01

Short enough that people read it.A policy nobody reads is a policy nobody follows. We write yours in plain language, a few pages, not a legal brick.

  • 02

Built around your industry and your data.Client files, financials, personnel records, privileged documents, the rules follow what your business actually handles and what your compliance requires.

  • 03

Backed by guardrails, not just paper.Sensitive-data detection and monitoring go in alongside the policy, so you know whether it is being followed instead of hoping.

  • 04

Kept current as the tools change.New AI tools show up in your business every quarter. The policy gets reviewed and updated as the landscape moves, not framed and forgotten.

What the policy covers.

Four sections your staff can act on the day it ships.

01

Approved tools and accounts

Which AI tools are approved, at which tier, under business accounts you control, so work product stops flowing through personal logins you cannot see or recover.

02

Clear data rules

What is safe to paste into an AI tool and what never leaves your systems, spelled out with examples from your actual work, not abstract categories.

03

Human review where it matters

Where the stakes justify it, client deliverables, filings, anything with your name on it, the policy keeps a person in the loop before AI output ships.

04

What happens when something goes wrong

A no-blame reporting path and clear first steps, because the worst outcome is an incident nobody tells you about until a client does.

Policy on paper.
Guardrails behind it.

This is the Govern stage of our four-stage journey, the piece that will always be required, whatever AI looks like next year.

  • A written AI use policy, tailored to your industry and ready to sign
  • Sensitive-data detection, so you know the policy is followed
  • An approved-tools list with account setup done right
  • Onboarding material, so new hires start inside the guardrails
  • Scheduled reviews as tools and regulations change

FAQ

Questions we hear first.

What do your AI services cost?

The lunch & learn and AI assessment are free. The AI Adoption Package is a one-time flat rate by company size, $3,000 under 10 employees, $5,000 under 25, $8,000 under 50. Workflow and agent builds are quoted flat-rate per project, and Managed AI is $150 per user per month.

Is our data used to train someone else's model?

No. We deploy business-grade tools inside your own tenant or account under your own agreements, and we commit to no training on client data. You own your policies, workflows and data, and we export them cleanly if you ever leave.

Which AI platform will you put us on?

Whichever genuinely fits. We are a Microsoft Solutions Partner and deploy Copilot, and we use Claude and ChatGPT in our own business daily. The recommendation follows your stack and your licensing costs, not a vendor quota.

Do we need to switch IT providers to work with you on AI?

No. Our AI practice runs as a standalone engagement alongside your current provider. If you would rather consolidate, our managed IT, cloud and cybersecurity services are here, but that is your call, not a condition.

Where should a business our size start with AI?

With the free lunch & learn, two hours with your whole team, tailored to how your people work, followed by a free assessment of how AI is already being used across your business. From there you decide whether the Adoption Package makes sense.
